The Assistant's task Overview offers a total overview of customers, the tasks that are to be performed for them as well as their statuses. At a glance one knows which task is most urgent. This way nothing falls between the lines, and the most urgent tasks are treated first.
The tasks are generated automatically by the assistant according to the settings you have entered on each Activity (Interval & warnings).
The overview is available per consultant as well as for the agency as a whole (Admin right only).
From the assistant task list, you can log into your clients directly, update the status of your tasks and report time on tasks.
From the end of each row you can:
- Login to the Client Account
- Edit the Company information
- Create/ Edit the Client' Assistant Assignment.
Filters
Use the date pickers and filters at the top of the view to narrow your search. An administrator will have access to all the consultants activities:
The detailed view of the tasks
Click on the coloured indicators (tasks) in each cell to open them up and see the detail of each task.
Here you can:
- Click on the task name to edit the task
- Change the status of the task
- Leave a comment on the task. If a comment has been left on a task, you will see "Read comment" instead.
- Click on the clock icon to Report time. This icon is visible only if the activity is linked to time.
- Click on the envelope icon to send an email to your client.
The Indicators
The colors are the statuses of the tasks to which we have added the icons for extra information regarding their progress. In the Detailed view all tasks and their statuses will be displayed, while in the overview we only display the most important so the view does not become overwhelming.
- Blue: New
- Blue with play symbol: Started & material received
- Blue with person: Waiting for material from client
- Blue with Pause symbol: (//) On hold
If an activity is started but awaiting material from the client we will show the Person in the main view.
Hold takes over from the Person but in the main overview if there are two blue activities, one on hold and one awaiting material, we will display the the task awaiting material.
- Yellow with bell: Reminder Less days left to due date than the setting
- Yellow with play: Started & material received
- Yellow with person: Still waiting for material from client
- Yellow with Pause symbol: (//) On hold
The Person symbol takes over from the Bell & the Hold from the Person
Yellow will always be shown with the bell in the list if there is no other progress chosen.
- Red with exclamation mark- Warning. Close to due date, less days left to due date than the setting.
- Yellow with play: Started & material received
- Red with Person - Still waiting for material from client
- Red with exclamation mark - Overdue. Due date passed Due date is highlighted in red in the detailed view.
- Red with Pause symbol: (//) On hold
- Green with checkbox - Done.
Progress will be the name of the different steps /states towards completion:
- New (Blue)
- Started (Blue, yellow or red with Play symbol)

Awaiting material from Customer (Blue, yellow or red with symbol of a man)
- Material received (Blue, yellow or red with Play symbol)
- On hold (Blue, yellow or red with pause button)
- Done (always green with checkbox)
