Using assignment templates saves time when you need to use the same assignment to multiple customers. All assignments are automatically updated when you make changes to a template.
- Go to Registry - Assignments - Assignment Templates and click Add Assignment Template. Fill in your new template. Remember to save.
The various assignment template fields are described below:
Assignment template: In this field, enter a short name for the assignment template. The field is unique and mandatory.
Description: Here you enter a description of the assignment template. This field is mandatory.
Notes: This field can be used for internal notes about the assignment template. This field does not appear on printouts.
Activity: Here you need to enter all the activities that you want to report in time, in quantity, in kilometers etc. In this field you can enter a wide range of activities, ranging from auditing and accounting tasks to tiling and window cleaning. The name of the activity can consist of both numbers and text. This is the activity your colleagues see when they report their time. The field is mandatory.
Once time has been reported for an activity, it cannot be deleted.
Item No.: If you want to invoice customers for a particular activity, it must be linked to an item with a price. Otherwise, leave the item field blank. The field is optional.
Invoice Text: You only need to use this field if you want a different text than the one under Item description to appear on the invoice.
Item description: Item description is automatically retrieved from the registry based on the item number you entered.
Unit: There are four different units in Briox Time Reporting. These four are Hours, Pieces, Kilometers and Expenses. By using different units, you can ensure accuracy when summarizing and generating reports. The field is mandatory.
Activity Group: Activity groups are used to create another level in the report. If you link a number of activities to an activity group, you can then get statistics for an individual activity or for the entire activity group. The field is optional.
Lock activity row: If an activity is not currently in use, you can lock it in the template by clicking the lock icon at the end of the row. You can then no longer report time for the activity in any of your assignments. However, you can still see everything previously reported for the activity.
- Link the template to your customers by clicking Link to customers. Select the customers you want to link your assignment template to by marking the checkbox in front of the customer name. When you have selected relevant customers, click Create. An assignment is then created for the selected customers.
