Add payment cards when scanning receipts

You can now add a payment card directly in the app when scanning your receipts. This helps your bookkeeper understand how each expense was paid and makes bookkeeping more accurate and automated.
 

How it works

When you select Company card as the payment method and the app detects a new card on the receipt:

  • You can add the card immediately
  • The card is saved together with the receipt

Once your bookkeeper has linked the card to a payment method in Briox, the app will automatically recognise it the next time you use the same card and preselect the correct payment method.

For the bookkeeper

When a receipt with a new card is uploaded:

  • A notification appears in The incoming documents list
  • You can review the card details (including last 4 digits and user)
  • You can connect the card to a payment method and its accounting account

Once connected:

  • The payment method becomes available in the app
  • Users can select and reuse it when submitting receipts
  • Multiple cards can be linked to the same payment method if needed
  • Note: Cards can also be added directly when editing a payment method

 

 

 

 

Control which payment methods are available in the app

Each payment method now has an “Available in app” toggle that lets you decide which methods users can select when submitting receipts.
 

How it works

  • Turn the toggle on to make the payment method available in the app
  • Leave it off to keep the method for desktop use only (for example, accounts payable methods that are not relevant for receipt uploads)
  • New payment methods are disabled by default — you choose which ones to enable
  • The setting can be updated at any time

Good to know:

  • Out-of-pocket expenses — Always available in the app as a fallback option, so users can submit receipts even if no other payment method is set up. This option is only visible in the app and does not appear in the desktop platform. 
    The app remembers the card details and coding in the background, making future submissions automated.
     
  • Payments methods using Open banking are available in the app by default. 
     

App driven Accounting

When a receipt is uploaded from the Briox app, accounting rows are now built directly from the data the app user provided — payment method, category,  and the input VAT, according to the default accounts  — rather than relying on the interpretation robot. The robot is only consulted as a fallback.

Prerequisites for the app-driven path (all three required):

If any of these is missing, the system falls back to interpretation.
