- Can I change my subscription after I have subscribed?
Yes. You can upgrade or downgrade your package, as well as add or remove users from within the software at any time. -
Why do I not see my Auditor here?
Auditor licences are free licences, and free licences are not visible in the overview.
You can see your auditors under Admin - Manager users, or if you are an agency, directly in your Client Overview.

Why do I get separate add-on services invoices?
Add-on services are supplementary offerings provided by Briox integration partners alongside Briox primary products. These optional features are for example sending or receiving invoices as e-invoices, payroll and e-payslips.
For the sake of clarity and transparency, add-on services are invoiced separately from your Briox subscription the month after usage.
The Briox subscription invoice contains my Briox package or licence is invoiced before the actual period start.

Why do I get invoiced for a shorter period than my client’s subscription period?
So called “partial licences” for x-amount of days: In the case of an agency paying for their client’s subscriptions, client packages are invoiced immediately as they start using Briox.
To synchronise these invoices with the agency invoice, a shorter period is invoiced so that the next invoice coincides with the agency invoice date. Our invoicing periods are quarterly or yearly.
An example explanation of this view:
The first user Mandi continues working from the current period to the next period.
Petya is inactivated during the current period and her licence is taken over by Daphne (so no change in cost for the company).
Maya is a new user that gets set up during the current period (which has already been invoiced) so the next period carries the cost for Maya’s retroactive licence fees (58 days) for the current period as well as her full fee for the next period, June through August.

Why do I see only the details of my next invoice period in my subscription overview?
This is because the feature is new and we had not saved the user data at the time your invoice was created. As from your next subscription period you will see the detailed user data of both your current and next invoice period.

Do I have to pay every time I send a customer invoice, even if it is the same invoice?
No, you do not.
Users with the packages Briox GROW and PREMIUM can send as many customer invoices as they want at no extra cost.
Only users with the package Briox GO and Insights pay as of invoice number 21.
You only pay once when you send an invoice to your customer. After that, you can send the invoice multiple times throughout its lifecycle without additional charges. This fee also covers the entire reminder process and any packing slips that need to be printed.
Note, the fee for sending an invoice as an e-invoice is a separate fee.

Do all documents I send to Briox get interpreted? When do we pay for an interpretation?
No, not all documents are interpreted. Only documents sent to the following folders of Linked Documents are processed for interpretation:

- Inbox folder
- Supplier Invoice folder
- Journal Support folder
Interpretations are free of charge until Briox achieves a full match for the document. In other words, while you are training your robot, interpretation remains free.
Also, there is only a fee the first time a document is interpreted. If an interpretation result would update documents in the Incoming Document list before they have been posted, for example due to the AI having 'learned', there is no additional fee.
For a journal, a full match includes:

- Properly coded rows
For a supplier invoice, a full match includes:

- Supplier information
- VAT details
- Properly coded rows on the supplier invoice
Only users with a GO or Insights package pay for interpretations.
GROW users have 200 full interpretations included in the package. This amount of interpretations covers the yearly needs of most of our clients.
PREMIUM users have no limits and no extra charges for interpretation.

Additional Information: Sending Documents into Briox
You have several options for sending documents into Briox. Below is a description of the different folders and how interpretation applies to them:

Documents sent to folders in the Archive section are never interpreted.

Documents sent to the linked documents section of the archive are only interpreted if sent to the following folders:
- Inbox folder
- Supplier Invoice folder

Journal Support folder
These interpreted documents can be processed in the Incoming Documents view.
Documents sent to other folders in the linked documents section are not interpreted, even if they are linked to a journal or supplier invoice. This includes:

Other Documents folder: Documents in this folder are available in the Incoming Documents view. If needed, you can send them for interpretation from there (coming soon).

Supplier e-invoices folder: These documents also appear in the Incoming Documents view as they are external documents that enter your accounting system.

Payroll Documents folder: This folder is only available in the Journal view and Supplier Invoice view. Only payroll admins can access this folder and view payroll documents, even after they have been linked to journals or invoices.
- Financial Statements folder: This folder is only available within the Financial Statements generator.
Documents can be sent in to Briox via scanner, email, or by uploading them directly to the inboxes in the program.
When using the scanner, expense types determine which inbox the scanned document is sent to in Linked documents.
- Receipt → Journal Support
- Invoice → Supplier Invoice
- Payroll → Payroll documents
- Other → Other documents (Not interpreted)
When mailing in documents to the Archive, each inbox has a unique email address. Read more here.
