Under Settings - CRM - Company Card Format and Contact Card Format, you have the possibility to customise the appearance of the company and the contact card.
- You can hide blocks you do not use
- Move blocks around to a position that suits you
- You can add new custom fields under the block General information
Hide Information Blocks
If you are not using specific information blocks and want to unclutter your company or contact card, simply un-check the boxes infront of the block header, as shown in the picture below, and the block will not be displayed on your company or contact card.
You can always check them again for the blocks to be displayed a new.
In this picture we have unchecked the contacts block so that contacts will not be displayed on the company card.
Move Blocks
By using the arrow keys you can move blocks up and down.
Add a Field to the block : General Information
If you wish to register more information about a company or a contact than what is available in the standard fields, you can add custom fields under the General Information block.
These fields will be searchable just like the standard fields.
Here is a brief description of each field type:
Description: This field type can be used to enter free text for a company or contact person. This field type is also suitable for figures that are not going to be used in calculations, for example: industry codes and contract numbers. Max. 185 characters.
Numeric: This field type can be used to register a number that may be used in calculations. For example: customer value, probability of business and the number of purchased product.
Date: This field type can be used to register a date. For example: the first contact, contract start date or and customer since.
Check Box: This field type can be used when you can answer Yes or No in the field. For example: VIP customers, dealers, and newsletter subscribers.
Drop-down menu: This field type can be used when you want to be able to choose one out of several alternatives. For example: branch, district, number of employees and status (when creating the drop-down options, type the first option in the available field and press on enter for the next field to appear. Continue this way until you have entered all desired options).
Text Box: This field type is used if you need to enter a larger amount of text on each company. You can enter up to 8000 characters.
Empty row: Provides a spacing row.
workflow
A custom field could for example be a membership. In this case, a check box could be suitable.
- Go to Settings - CRM - Company Card Format or Contact Card Format.
- Under the General Information tab, click on the Add field button.
Add Field
- A new window opens where you can create your custome field.
- Enter the Name, for the field to be called. In this example, "Membership".
- Since there are only two options, either the customer is a member or not, then a check box is a suitable choice in the drop down menu for Type.
- Under Alignment, select whether you want the field to align to the left, centre or to the right. Check the box for Mandatory field, if the field must be filled in order for the user to be able to save the company / contact (this is not advisable in the case of a check box).
- Click on Save.
You can now see the result on the company card / contact card. In order to check the new Membership box, click on CRM - Companies or Contacts - choose a company or a contact and click on the Edit Company or Contact icon in the menu bar, tick the box and then Save.
